The tab-switching tax
Ask a support agent what slows them down and you will rarely hear "the customers." You will hear about the tools: WhatsApp open in one tab, the Facebook inbox in another, email somewhere else, and a spreadsheet pretending to be a CRM. Every channel switch costs attention, and every attention switch costs time. The customer feels it as a slow reply; the business feels it as a ticket that took three times longer than it should have.
The fix is not another app. It is one workspace where every channel lives. In HellouOne that workspace is Conversations: every message from WhatsApp, the website, Facebook, Instagram, email, and Telegram arrives in a single list, and every conversation is answered from the same screen no matter which channel the customer wrote from. It sounds simple. The speed difference is not.
The list: find anything in seconds
The center column shows your conversations in three tabs: Mine (assigned to you), Unassigned (nobody has taken yet), and All (everything you have permission to see). Above the list you can switch the status you are looking at, Open, Resolved, Pending, Snoozed, or All, sort by activity or creation date, and open an advanced filter that combines conditions like inbox, agent, team, tag, priority, and dates. A useful filter can be saved as a view, so your morning triage is one click instead of ten.
The left menu slices the list further: Mentions (conversations where someone tagged you in a private note), Unattended (conversations where the customer has been waiting too long), plus Team, Inbox, and Tag. The search bar at the top searches inside message text, contacts, and reports. And for keyboard people, Cmd K (or Ctrl K) opens a command menu to assign, resolve, tag, or jump to another conversation without touching the mouse. Small things, but they compound across a hundred conversations a day.
The reply box: everything within reach
Open a conversation and the right side becomes your command center. The reply box switches between Reply and Private note: private notes show in yellow and the customer never sees them. Type / to insert a canned response, @ in a note to mention a teammate, and use the icons to attach files, add emojis, record a voice note, or run a macro. You can even choose whether Enter or Cmd Enter sends, in your profile.
Above the conversation, Resolve closes it (it reopens on its own if the customer writes again), Snooze hides it until a set time or until the customer replies, and the three-dot menu lets you mute, email the transcript, or mark it pending. The right panel shows who is handling it (assigned agent and team), the priority, tags, the contact's data and attributes, and that customer's previous conversations. If your plan includes AI classifications, the customer's sentiment appears next to their name too.
How work actually flows through it
New conversations get assigned according to your account's assignment rules, or you can take one by hand by choosing your name or hitting "Assign to me" in the list. When the topic is closed, you hit Resolve, and the conversation leaves the Open list. If satisfaction surveys are active, the customer gets one automatically.
If the inbox has an AI agent, the flow has an extra step worth understanding: while the assistant answers on its own, the conversation sits in Pending. It moves to Open, assigned to a team or a person, when the assistant hands it over, and from that moment the assistant stops replying and the conversation is yours. Knowing this rhythm matters, because it tells you exactly when a human is expected to step in.
Three habits of fast teams
First, tag everything with intent. Tags for topic, product, or area turn the conversation list into data you can slice later in the reports section. Second, resolve aggressively. A resolved conversation is not deleted, the full history stays on the contact, so there is no reason to let closed topics clog the Open list. Third, use private notes and mentions instead of side channels. When the context lives in the conversation, the next agent who picks it up starts informed instead of starting over.
One inbox, one reply box, one contact panel. That is the whole philosophy, and it is why teams that move their channels into the workspace stop losing time to tab-switching and start spending it on customers.
