What is a WhatsApp team inbox?
A WhatsApp team inbox is software that puts every WhatsApp conversation for a business number into one list that the whole team can work from. Instead of one phone passed around the office, each person logs in from a browser, sees the conversations assigned to them and replies from the company number.
The idea is the same as a shared email inbox such as support@ or sales@, applied to WhatsApp. Conversations are assigned, labeled and closed when they are resolved. Customer details, past orders and notes sit next to the chat, which is why many teams call it a WhatsApp CRM.
For small teams the main benefit is accountability. Every message has an owner, managers can see what is waiting and for how long, and when someone is on vacation their conversations can be reassigned instead of going quiet.
Why the WhatsApp Business app breaks at two or more people
The free WhatsApp Business app is built for one person on one phone, so it starts to fail as soon as two people share it. Linked devices let a few people see the same chats, but there is no assignment: two colleagues answer the same customer, or each assumes the other did and nobody replies.
There is also no record of who said what, no way to limit what each person sees, and no connection to the rest of your tools. When the phone is lost or the person who holds it leaves, the conversation history goes with it.
A team inbox uses the WhatsApp Business API instead. You keep your number: it is moved from the app to the API, and customers keep writing to the same contact they already have saved. From then on the inbox software handles the conversations, and each team member has their own access.
- Business app: one phone, shared login, no assignment, no audit trail.
- Business API with a team inbox: individual logins, assignment, reports, integrations.
- Same number either way: you move it, you don't replace it.
Assignment rules and visibility levels
Assignment rules decide who gets each new conversation, and visibility levels decide who can see it. Getting both right is what turns a shared WhatsApp inbox from a group chat into an organized team.
HellouOne offers round robin assignment (conversations rotate evenly between available people), priority rules (certain conversations go first or to certain people) and online-only assignment (only people currently online receive new chats). People can be grouped into teams, such as sales, support or billing, so a conversation lands with the right group.
Visibility comes in five levels, set per person. The narrowest shows only their own conversations; the widest shows everything in the account. That lets a business give a new hire a focused view while a manager sees the whole picture. Advanced routing (priorities, teams, online-only assignment and tiered visibility) is included from the Growth plan.
- Level 1: only their own conversations.
- Level 2: their own plus their teams' conversations.
- Level 3: their own, their teams' and unassigned conversations.
- Level 4: everything in the inboxes they belong to.
- Level 5: everything in the account.
How AI agents and people share the inbox
In a WhatsApp team inbox with AI, the AI agent answers first and people take over when they are needed. The AI agent handles common questions from your knowledge base around the clock, and the team spends its time on the conversations that need a human.
Handover areas define the switch. You describe when the AI agent should step aside, for example a complaint, a pricing negotiation or a question it cannot answer, and which team should take over. The conversation is then assigned by your rules, with the full history visible to the person who picks it up.
Inside a conversation, the team works together without the customer seeing it. Private notes add context for colleagues, and @mentions pull a specific person in, for instance asking billing to confirm a payment before sales replies.
On the Growth plan and above, AI classifications add another layer. Each conversation can be tagged for lead qualification and customer sentiment, and smart routing uses those signals to send it to the right team. A reply check can also review answers before they go out, and the AI decisions summary shows what the AI agents did and why.
Which other channels can share the same inbox?
A team inbox is most useful when every customer channel lands in the same place. In HellouOne, WhatsApp and web chat are available on every plan from Starter, with a widget builder and a help center for your site.
Higher plans add more channels to the same inbox. Telegram and Facebook Messenger are included from Growth, and Instagram and email from Scale. The same assignment rules, visibility levels and AI agents apply across all of them.
Keeping channels together matters because customers switch between them. Someone who asked a question on your website chat on Monday and follows up on WhatsApp on Wednesday should not have to explain everything twice, and your team should not need two tools to find the earlier answer.
- Starter and Team: WhatsApp and web chat.
- Growth: adds Telegram and Facebook Messenger.
- Scale: adds Instagram and email.
Campaigns, WhatsApp Flows and satisfaction surveys
A team inbox is also where outbound WhatsApp work happens. Campaigns send an approved template to a list of contacts who agreed to hear from you; HellouOne shows an audience preview and a cost estimator based on Meta's fees before you send, and replies come back into the inbox for the team or the AI agent to answer. Outbound campaigns of up to 25,000 messages a month are included from the Scale plan.
WhatsApp Flows are interactive forms that open inside WhatsApp, so a customer can book an appointment, sign up or leave their details without leaving the chat. HellouOne includes a no-code Flows builder with ready templates for appointment booking, lead capture, sign-up and customer satisfaction, from the Growth plan.
That last template powers CSAT: when a conversation is closed, the customer gets a short satisfaction survey in WhatsApp, and the results appear in your reports next to agent, team and conversation metrics.
How much does a WhatsApp team inbox cost?
A WhatsApp team inbox in HellouOne costs from $49 per month, and the price grows with the number of people on the team. All plans include AI agents and are billed in USD; Meta's WhatsApp fees are paid directly to Meta with a 0% HellouOne markup.
The free trial lasts 7 days with no card, and includes 2 agents, 2 inboxes and 100 conversations. When it ends, the account becomes read-only: nothing is deleted, and choosing a plan picks up where you left off.
To choose a plan, count the people who will answer customers at the same time. A founder with one assistant usually fits Starter; a small sales or support team of up to three fits Team, which also adds macros, automations and a custom AI agent trained on your own knowledge base. Once you need advanced routing, more channels or WhatsApp Flows, Growth is the step up.
- Starter: $49 per month, 1 human agent, 2,000 AI messages, no setup fee.
- Team: $190 per month plus a $100 one-time setup, 3 agents, 5,000 AI messages, macros and automations.
- Growth: $490 per month plus a $200 one-time setup, 6 agents, 25,000 AI messages, advanced routing and more channels.
Operating across the US and Latin America
A WhatsApp team inbox works well for businesses that serve customers in both the US and Latin America, where WhatsApp is the default way to reach a company. HellouOne works in English and Spanish, and AI agents reply in the language the customer writes in.
Pricing is in USD for every country, so a team split between Miami and Bogotá or Mexico City pays the same plan. Meta's WhatsApp fees vary by the customer's country and are billed by Meta directly, which makes it easy to compare campaign costs by market.
Time zones are handled with working hours and online-only assignment: new conversations go to people who are actually online, and outside working hours the AI agent answers first and leaves the conversation ready for the next shift.
Data protection depends on where your customers live. US clinics can review HellouOne's HIPAA notice, and businesses in Colombia or Mexico remain responsible for collecting consent under their local data protection laws. A team inbox helps by keeping customer data in one controlled place instead of on personal phones.
