HellouOne AI agents can now book Calendly appointments

A HellouOne AI agent can book a Calendly appointment inside the conversation, with limits per conversation and per connection. It is off until you turn it on.

When a customer says they want an appointment, the next few minutes decide whether the appointment happens. If someone on your team has to read the message, open a calendar, offer a time and type the details, a share of those customers will have moved on by the time you answer. As of November 5, 2026, a HellouOne AI agent can book the appointment itself in Calendly, inside the same conversation, with limits that keep it under control.

This is for businesses that take appointments through their AI agent and want less manual scheduling and fewer bookings lost to slow replies. It builds on the Calendly connector that HellouOne already offers for bookings, and it is live in production.

What is new

  • A booking action. The AI agent has an action called Book an appointment for the customer, which creates the appointment in Calendly.

  • Off until you enable it. Even after Calendly is connected, the action is off by default and an admin turns it on.

  • Booking limits. One booking per conversation per 24 hours, and 20 bookings per connection per hour. Calendly's own per-user limits also apply.

  • A confirmation the customer can act on. The customer gets the confirmed start and end time plus Calendly's cancel and reschedule links.

What you need

Booking needs the Calendly connector. The connector is included with the free trial and with every plan sold with AI. It is not part of the plan options labelled (No AI).

You connect Calendly with a personal access token. The token needs the scheduled_events:write scope, so that the AI agent is allowed to create events. HellouOne's documentation notes that this works on any Calendly plan, so you do not need to change your Calendly subscription to start.

How to set it up

  • Open LIA, then Marketplace, then Connectors, and click the Calendly card.

  • Mark what the AI agent may do and turn on Book an appointment for the customer. It is the one switch that lets the AI agent write into your calendar, which is why it starts off.

  • Choose which AI agents use the service. If you have only one AI agent, there is nothing to choose.

  • Paste your Calendly personal access token. The help text on the card says where to find it.

  • Click Connect. The card shows Connected when every selected AI agent has the service.

The token is stored encrypted and is never shown again, as the help guide on connecting services explains. To change it, open the card and replace it. To remove access, use Disconnect.

Limits that keep bookings under control

A booking action is useful only if you can trust it, so it comes with limits. An AI agent can make one booking per conversation per 24 hours. That keeps a single conversation from filling your calendar with repeats, whether the customer pressed a button twice or simply changed their mind in the middle of the chat.

On top of that, there is a ceiling of 20 bookings per connection per hour, which protects the calendar behind that connection from a sudden burst. And because the booking goes through Calendly, Calendly's own per-user limits also apply. These numbers are what is live today, so plan around them: for a normal business, one booking per customer conversation and a steady flow of appointments fit well within them.

What the AI agent needs from the customer

To book, the AI agent needs three things:

  • The customer's name. It is required.

  • An email address. This is the contact's email if HellouOne already has one, or an email the customer typed in the conversation. If neither exists, the AI agent asks. It never invents one.

  • The customer's time zone, so the appointment is booked at the time the customer means.

If the time the customer chose has been taken in the meantime, the AI agent does not stop there. It offers another time. No notes and no location are sent to Calendly, so the booking carries only what is needed to create the appointment.

What the customer receives

Once the appointment is booked, the customer gets the confirmed start and end time, together with Calendly's cancel and reschedule links. The customer does not need to ask anyone how to change the time, and your team does not need to field those requests by hand. If a plan changes, the customer uses the link, and Calendly handles it.

How this works with HellouOne

Calendly sits with the other service connectors in LIA, Marketplace, Connectors, next to CRM, store, payments and more. The same safety rule applies to all of them: the AI agent sees only the customer it is talking to, and actions that write into a service start off until you enable them. The help guide Connect services to your AI agent describes the steps, and our post on connecting services to your HellouOne AI agent walks through the rest of the list. See all connectors on the integrations page.

If you want the wider picture of appointment booking with an AI agent, including reminders and handing over to a person, read appointment booking on WhatsApp with an AI agent. Start with one calendar, turn the booking action on, run a few test bookings of your own, and then let your customers book in the conversation.

Try it on your own WhatsApp number.
